Tour Terms & Conditions

3‑Day Azores Tour – Operator Policy​

(Applicable to the itinerary described in the previous response – São Miguel → Faial → Pico ± optional Graciosa/Corvo extension)

​This policy governs all bookings, payments, and participation in the tour. By reserving a spot you accept the terms below.​

2. Cancellation & Refund Policy

*Refunds are returned to the original payment method within ​10 business days​ of receipt of the cancellation notice.

​Cancellations must be submitted in writing​ (email to tour@azoresadventures.com) and include the booking reference number.

3. Modification (Date/Itinerary Changes)

• ​Change fee:​ €30‑€50 per request, plus any price difference (higher or lower).
• ​Availability:​ The operator reserves the right to adjust the itinerary if weather, flight, or accommodation availability forces a change.
• ​Minimum group size:​ 2 participants (the tour is designed for a group of 2‑12). If the group falls below 2, the tour may be cancelled and a full refund issued.

4. Liability & Insurance

​Insurance requirement:​ A minimum coverage of ​€30,000​ medical and ​€2,000​ trip‑cancellation is mandatory. Proof of insurance must be uploaded at least ​5 days before departure​.

5. Age & Health Restrictions

• ​Minimum age:​ 12 years (children 12‑17 must be accompanied by an adult).
• ​Maximum age:​ No strict upper limit; however, participants with serious health conditions (e.g., heart disease, severe asthma) must provide a recent physician’s clearance and may be denied participation if deemed unsafe.
• ​Physical fitness:​ The tour includes moderate hiking (up to 6 km with elevation gain > 500 m) and optional volcano‑summit climbs. Participants should be comfortable with these levels of exertion.

6. Group Size & Composition

• ​Maximum participants:​ 12 (to ensure personalized service and safety).
• ​Composition:​ The group may be mixed (couples, families, friends, corporate). The operator will assign seats and rooms based on reservation order and availability.

• ​Weather disclaimer:​ The Azores experience rapid weather changes; activities may be postponed or replaced at the operator’s discretion.
• ​Safety briefing:​ Conducted on Day 1 (São Miguel) and before each high‑risk activity (e.g., hiking to Pico summit).
• ​Emergency protocol:​ The operator carries a satellite phone, first‑aid kit, and a list of local emergency numbers (police, ambulance, fire). Participants are advised to keep their phone charged and carry a copy of their passport and insurance card at all times.

9. COVID‑19 & Pandemic‑Related Rules

• ​Entry testing:​ As of the latest official guidelines (check 24 hours before travel), most travelers must present a negative PCR test taken ≤ 72 hours before arrival or proof of full vaccination.
• ​On‑site measures:​ Masks are optional unless a local health authority mandates them. Social distancing is observed during group meals and transport.
• ​If a travel restriction is imposed after booking:​ The operator will either reschedule the tour (subject to availability) or issue a full refund, depending on the severity and duration of the restriction.

10. Code of Conduct

• ​Respect local culture:​ Portuguese language greetings (e.g., “Olá”, “Por favor”) are appreciated.
• ​Leave no trace:​ No littering, especially in volcanic areas and marine zones.
• ​Noise control:​ Keep music volume low in shared accommodations and respect quiet hours.
• ​Alcohol:​ Participants may consume alcohol, but the operator reserves the right to stop activities if behavior becomes disruptive.

Violations may result in removal from the tour without refund and possible blacklisting from future tours.

• ​Photography & video:​ Participants may take photos/videos for personal use. Commercial usage requires prior written permission.
• ​Currency:​ Euro (EUR). Credit cards are widely accepted; cash is useful for small vendors.
• ​Tips & gratuities:​ Not required for the operator; optional for guides, drivers, and restaurant staff.
• ​Alcohol policy:​ The operator does not supply alcohol; participants may bring personal supplies.
• ​Feedback:​ After the tour you will receive a short questionnaire to rate the experience. Your feedback helps improve future tours.

13. Governing Law & Dispute Resolution

• This policy is governed by Portuguese law.
• Any dispute arising shall be resolved through mediation; if mediation fails, the matter shall be referred to the courts of Ponta Delgada, São Miguel, Azores.

The itinerary, pricing, and policies are based on information available as of the date of booking. The operator reserves the right to modify the policy, itinerary, or pricing due to unforeseen circumstances (e.g., flight cancellations, extreme weather, government regulations). Participants are advised to verify all details with the operator before finalizing travel arrangements.
